Terms & Conditions

Long Term Rentals Services – Rental Placement Agreement

  We provide the following as part of our rental placement service:

  ·   Source clients both locally & internationally through newspaper, magazine, radio and internet   advertising

  ·   Accompany prospective clients on visits to view your property

  ·   Arrange contracts between yourself and the rental client (contracts are bilingual – in English and Spanish)

  ·   Change bank details for all utility  bills – gas, water, electric, television etc and take meter readings prior to start of contract.

  ·   Carry out a visit free of charge prior to the start of the rental period to ensure that the property is fully prepared for long term rental and to highlight any remedial work required prior to the commencement of rental.

 

Standard terms of rental agreements:

·   2 months reservation / holding deposit taken from tenant (which becomes a security deposit once the contracts are signed and first month rental paid)

·   Contracts are usually for an 11 month period as standard (can be amended)

·   Rent paid by tenant monthly on the 1st day of each month (or one month in advance from the date that the rental starts), by standing order direct from the tenant to the owner

·   Payment of services (water, electric, gas etc) by direct debit through the tenants bank

·    Any damage /breakages /unpaid bills to be deducted from the tenant’s security deposit at the end of rental period

·    Security deposit to be returned to us at least 2 weeks before the end of the rental contract for repayment to the tenants on the day of departure (less any damage/breakages/unpaid bills)

·     Non-completion of rental period, security deposit can be retained by the owner (assuming that the owner is not “profiting” from a subsequent rental)

·   The security deposit can be retained by us if the owner prefers during the letting period

·    Commission payable for placement – 1 month’s rental (+ IVA).

·    Commission payable for renewal with the same tenants – 0.5 month’s rental (+ IVA)

 

Required property owner information needed to complete rental contract:

·    Full name, permanent address and DNI/Passport details (copy required) of property owner(s)

·    Spanish bank account details to arrange standing order (name, number and address)

·    Full address of the rental property

 

 

What the property owner must provide prior to rental:

·    Provide an inventory – by room of the property’s contents

·     Provide copies of the most recent utility bills (electric, water, gas, telephone & television etc..)   and ensure they are paid up to date

·     Provide details of services contracted for property (ie: garden maintenance, pool maintenance)

·     Notify insurance company that the property is to be rented, and confirm that public liability cover is in place

·     Notify their bank if a mortgage is in place

·     Certificates of service revision for gas appliances (in last 5 years)

·     Electric revision

·     Provide sufficient copies of keys for the tenant(s)

 

Pre-Rental Checks:

·    We will check to ensure that the property is in good condition (paintwork, furniture, fixtures and fittings etc) prior to commencement of rental

·    All appliances will be checked to ensure they are in good working order.

·    Any remedial work needs to be completed at the property owner’s expense prior to the commencement of the rental

 

Long Term Rentals – With Full Rental Management Agreement

We provide the following as part of our rental management service:

All of the services included with Rental Placement, PLUS –

·    Be the first point of contact for the tenants for queries/issues throughout the duration of the rental period

·    Manage any agreed remedial works during the rental period. The cost of any remedial works to be paid by the owner (NB – an additional 10% cover charge will be added for any payment made by us of over 100 euros at any one time)

·    Digital photographs will be taken of all rooms and gardens prior to the start of the rental – which the tenants are required to sign.

·   Visit the property every 3 months to inspect its condition – inside and out where appropriate – and report back to the owner

·   Contact utility companies every 3 months to check that bills are being paid up to date

·   Mid-Rental checks (every 3 months) will be conducted and any remedial work will be conducted after these checks. The cost of any work to paid by either tenant or owner (dependent upon responsibility)

·    An End of Rental Check will be conducted approximately 2 weeks before the end date of the rental – to ensure sufficient time for remedial work if required and for full / part retention of the tenants deposit to cover the cost of remedial work if necessary.

 

Standard terms of rental agreements:

Identical to the terms of placement agreements, PLUS –

·   A Management Fee equivalent to 8.5% of monthly rental ( + IVA) – a minimum charge of 60 euros for apartments and 120 euros for townhouses & detached villas

·   Any remedial work up to a value of 200 euros will be carried out by our service staff and invoiced to the property owner at a later date. Remedial work that exceeds €200 will not be carried out without the express permission of the property owner

·   Provide us with full details of all maintenance contracts

·   Provide us with an extra set of keys
